SUMMARY

The Professional Assistant to the CEO provides high-level, confidential, and strategic administrative support. This role ensures the CEO operates efficiently and effectively by managing priorities, coordinating executive activities, and serving as a trusted liaison between the CEO, executive management, stakeholders, and external partners.

RESPONSIBILITIES

Executive Support

  • Provide comprehensive professional and administrative support to the CEO
  • Manage the CEO’s diary, appointments, meetings, and travel arrangements
  • Screen, prioritise, and manage correspondence and calls
  • Prepare agendas, briefing documents, presentations, and meeting reports
  • Take accurate minutes and track follow-up on action items
  • Strategic & Operational Coordination
  • Assist with planning, monitoring, and executing strategic initiatives
  • Coordinate all CEO-related and Board-related activities and documentation
  • Compile and consolidate reports for Exco, Board, and various committees
  • Monitor deadlines and ensure timely submission of key reports

Stakeholder Liaison

  • Serve as a key point of contact for internal and external stakeholders
  • Build strong relationships with executives, managers, Council members, and partners
  • Handle sensitive information with the highest level of discretion


Office & Information Management

  • Maintain organised and secure filing systems (digital and physical)
  • Ensure confidentiality and compliance with policies and legislation
  • Draft, edit, and proofread high-quality correspondence and documents
  • Coordinate logistics for executive events, workshops, and stakeholder engagements

Governance & Compliance

  • Support governance processes and adherence to organisational protocols
  • Track resolutions, decisions, and compliance-related actions
  • Ensure documentation meets governance, audit, and record‑keeping standards


Requirements:

  • Relevant tertiary qualification in Office Management, Business Administration, or a related discipline
  • 5–8 years’ experience as a PA or Executive Assistant at senior/executive level
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and SharePoint
  • Proven experience supporting a CEO, MD, or Executive Committee
  • Experience in corporate, regulated, or public-sector environments is advantageous
  • Exceptional organisational and time-management skills
  • Strong written and verbal communication abilities
  • High level of professionalism, integrity, and discretion
  • Able to work independently with competing priorities
  • Excellent attention to detail and problem‑solving capability
  • Ability to manage pressure and tight deadlines with composure
