Main Purpose:

The Receptionist & Counter Sales Administrator is responsible for handling front office reception, counter sales, including greeting visitors, answering phones and handling company inquiries and administration duties.

Scope:

The Receptionist & Counter Sales Administrator works to ensure that callers and visitors receive a good first impression of the company by having an excellent telephonic and personal manner, being accurate in message taking, and transferring calls to the correct departments / persons. The Receptionist & Counter Sales Administrator also handles all counter sales and other admin related duties that may include but is not limited to filing, data capturing, arching, weekly and monthly reports.

Duties/Roles and Responsibilities:

Reception:



Welcoming visitors by greeting them in person or on the phone.



Receiving of visitors, maintaining visitor register, ensuring they sign all relevant documents and connecting them with the right employees.



Answer, screen and forward incoming phone calls, dealing with telephonic queries and providing correct information in a timely manner.



Accurate message taking and e-mailing it to the relevant department / person.



Receiving calls from employees in terms of late coming, absenteeism etc. and forwarding a detailed message to relevant parties.



Ensure that refreshments are arranged for clients, customers and/or suppliers where relevant.



Maintain clean and safe reception area.



Maintain security by following procedures.



Ensuring that the internal telephone extension list stays updated and distributed timeously.
